Job Title: Division Support Specialist
Location: Flagstaff, Arizona. This is an onsite-based position.

Travel: Significant regional travel required including some overnight stays (30+%)

Division Program Summary:
Based in Flagstaff, Arizona, ACE's Southwest Arizona program operates year-round with young adult volunteer AmeriCorps crews completing trail, ecological restoration, historic preservation and conservation field projects throughout the southwest region of the US, from the depths of the Grand Canyon to the alpine pine forests of the Southern Rockies to the wild Saguaro forests of the Sonoran Desert and beyond!
Position Summary:
The Division Support Specialist is responsible for assisting with a variety of administrative and operational tasks. The Division Support Specialist will collaborate and work closely with the ACE Southwest member management and Operations team. The role’s primary responsibilities include supporting member onboarding and hours tracking, member PPE and tent management, project logistical support and administrative support for the Division Director.
Essential Functions and Responsibilities:
Member Management Support (40%):
* Assist with member orientation including planning, logistical support and leading relevant sessions.
* Manage the tent inventory for members including tracking, ordering and tent maintenance.
* Manage the SWA Gear Cache including check outs/ins of backcountry specific gear
* Conduct member timesheet entry audits, mid-term review support and exiting evaluation processing and filing.
* Assist with member interviews as needed.
* Conduct member debriefs as crews return or virtual debriefs for crews on extended projects.
Project Logistical Support (40%):
* Manage the PPE cache to ensure inventory is kept in stock and replace worn out PPE for members during their terms.
* Track and restock trauma kits as necessary for chainsaw and X-Cut saw operations
* Assist Logistics Coordinator with provisions packing as needed
* Provide in person logistical support for project operations including vehicle and member pickups/drop offs, supply deliveries to crews and other in field support as needed.
Administrative Support (20%):
* Project reporting for federal and non-federal partners
* Assist Division Director with invoice creation
* Agreement/contract input into ACE systems
* Member payroll hour input bi-weekly and review

Required Experience and Qualifications:
* Associate degree or an equivalent combination of education and/or experience.
* Knowledge and/or understanding of National Service Programs like AmeriCorps is preferred, but not required.
* Advanced computer management skills with emphasis on the G-Suite platforms and a particular emphasis on google sheets;
* Ability to effectively organize, multitask and maintain coordination of time sensitive compliance needs utilizing proprietary database tools.
* Ability to work both independently and as a contributing member of a team.
* Effective time management skills and the ability/desire to perform multiple deadline-driven tasks concurrently and independently.
* Ability to effectively work with a diverse range of people.
* Possess professional written and verbal communication skills.

Physical Demands, Work Environment and Working Conditions:
* Physical Demands: Requires frequent sitting, standing, walking, hiking, carrying, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of hand and power tools, computer keyboard/mouse and other office equipment. Required to stoop, kneel, climb stairs, and/or crouch. Ability to hike over rough terrain, and camp overnight under field conditions.
* Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
* Weight Lifted or Force Exerted: Frequently moves up to 50 lbs., ability to move up to 60 pounds.
* Environmental: Outdoor and indoor conditions. Work environment conditions can change frequently; working under adverse weather conditions and in various climates.
* Noise Environment: Moderate to high noise such gas-powered chainsaws and other hand and power tools
* Travel: This position requires domestic travel.
Compensation (Grade 1): $22.00 - 25.00/hour, depending on experience.

Holidays, Vacation, and Sick Time: As an ACE staff member, you will be eligible to accrue up to 80 hours of paid vacation time annually during your first two years of continuous employment, then it increases to 120 hours annually. ACE observes 13 paid annual holidays (floating holiday flexibility). ACE provides 10 days (or 80 hours) of paid sick time annually.
