Seneca Peters Accounting & Tax | Beaverton, OR is a client-focused accounting, tax, and advisory firm committed to providing personalized service to businesses and individuals. As our firm continues to grow, we are looking for a friendly, professional, and highly organized Front Office/Receptionist - Administrative Coordinator to join our Beaverton office.
Position Overview
The Administrative Coordinator is primarily a front-office and receptionist position and serves as the first point of contact for our clients and visitors.
A significant part of the day will be spent answering phones, greeting clients, managing incoming client requests, scheduling appointments, receiving and organizing documents, and keeping the front office running smoothly. This position also provides administrative support to our accounting and tax professionals.
We are looking for someone who genuinely enjoys interacting with people, is comfortable handling a busy phone and front desk, and takes pride in creating a welcoming and professional experience for every client.
Key Responsibilities
Serve as the primary front desk receptionist and first point of contact for clients and visitors
Answer and route incoming phone calls, take detailed messages, and assist with general client questions
Greet clients, assist with document drop-offs and pickups, and ensure visitors receive prompt and professional service
Monitor and respond to general office emails and client requests
Schedule and coordinate client meetings and appointments
Receive, scan, organize, and route client tax and accounting documents to the appropriate team members
Maintain accurate and organized physical and electronic client files
Assist with assembling, processing, and delivering tax returns and other client documents
Support the tax and accounting teams with administrative tasks, correspondence, data entry, and document preparation
Process incoming and outgoing mail, packages, and deliveries
Maintain office supplies and help ensure the reception and common areas remain organized and professional
Assist with general office coordination and day-to-day administrative needs
Handle confidential client and financial information with a high level of discretion

Requirements
Qualifications
Previous experience in a receptionist, front desk, administrative coordinator, or client service role
Strong customer service skills and a professional, friendly demeanor
Excellent verbal and written communication skills
Comfortable answering and managing a busy multi-line phone environment
Strong organizational skills and attention to detail
Ability to manage multiple priorities and interruptions while remaining calm and professional
Proficiency with Microsoft Office, including Outlook, Word, and Excel
Comfortable learning new technology and industry-specific software
Experience in an accounting, tax, financial services, legal, or other professional office environment is a plus
High level of integrity and discretion when handling confidential information
