AI & Business Systems Automation Intern Position Overview We are seeking technically capable students for a hands-on applied AI and business automation internship focused on improving real-world business operations through artificial intelligence, software integration, data analysis, and workflow automation. This is a practical, project-oriented opportunity for students who want to move beyond classroom learning and AI experimentation to build solutions that address actual business challenges. Interns will work directly with employees and department leaders to identify repetitive tasks, streamline workflows, integrate AI into existing business systems, and develop automation solutions that deliver measurable improvements in productivity, accuracy, turnaround time, and operating costs. The internship will provide exposure to multiple areas of business operations, including customer service, dispatch and logistics, purchasing, sales, laboratory and manufacturing operations, and accounting. Interns will be expected to understand business problems, develop and test solutions, work with existing software and data, and demonstrate the results of their work. The objective is to implement useful, reliable automations that employees can incorporate into their daily operations. The initial program will run for 12 weeks, with the possibility of extending the internship or transitioning successful candidates into permanent positions based on individual performance, demonstrated business impact, and organizational needs. Key Responsibilities Business Process Analysis and Automation Work with employees and department managers to understand existing workflows and operational challenges. Identify repetitive, manual, time-consuming, or error-prone processes that could benefit from automation. Evaluate opportunities to improve efficiency using AI, Python, APIs, SQL, and workflow automation tools. Document existing processes and recommend practical solutions based on potential business value. Prioritize projects based on time savings, accuracy, implementation effort, cost reduction, and operational impact. Establish baseline metrics and measure improvements resulting from implemented solutions. Applied Artificial Intelligence and Intelligent Automation Develop practical applications using AI tools, large language models (LLMs), and approved AI APIs. Automate document processing, email classification, information extraction, summarization, and report generation. Build AI-assisted workflows that connect existing applications and reduce manual data entry. Combine AI capabilities with conventional programming, business rules, and structured data. Test AI-generated outputs for accuracy, consistency, reliability, and suitability for business use. Implement appropriate human review and approval procedures for sensitive or consequential decisions. Evaluate existing AI products and automation platforms to identify opportunities for rapid implementation. Software Integration and Business Systems Work with existing ERP, CRM, accounting, inventory management, logistics, laboratory, and manufacturing systems. Develop integrations using REST APIs, webhooks, SQL, Python, and approved automation platforms. Automate data exchange between systems and reduce duplicate data entry. Extract, transform, validate, and organize operational data. Develop automated reports, notifications, alerts, and dashboards. Troubleshoot integration issues and implement appropriate logging, error handling, and validation. Document integrations and workflows to support ongoing maintenance and future development. Customer Service Automation Explore opportunities to automate order processing, email management, and customer communications. Develop tools to categorize incoming emails and extract customer, order, and delivery information. Assist with order-status inquiries, customer follow-up reminders, and communication workflows. Develop automated workflows to generate, populate, validate, and organize Bills of Lading (BOLs) and related shipping documents using information from customer orders, ERP systems, and transportation or logistics platforms. Automate the transfer of shipment information into shipping forms and documents, including customer details, ship-to addresses, product descriptions, quantities, weights, packaging details, and applicable shipping instructions. Reduce manual data entry and duplicate work by integrating order information with document-generation tools and existing business systems. Improve information retrieval and reduce manual administrative work. Ensure customer-facing communications and shipping documents follow approved business rules, accuracy requirements, and review procedures. Dispatch and Logistics Automation Identify opportunities to improve dispatch scheduling, shipment tracking, and delivery coordination. Automate shipment-status notifications and routine interdepartmental communications. Consolidate logistics data from approved systems and sources. Develop and implement automated processes for creating, completing, updating, and distributing Bills of Lading (BOLs), packing lists, shipping labels, delivery paperwork, and other applicable transportation documents. Integrate shipping-document workflows with order management, inventory, ERP, warehouse, and transportation systems to retrieve shipment data and minimize manual document preparation. Implement automated validation checks to identify missing information, inconsistent quantities or weights, incorrect addresses, and discrepancies between orders, shipping records, and generated documents. Automate document storage, naming, retrieval, and distribution to appropriate internal teams, carriers, and customers, subject to applicable authorization and approval requirements. Explore AI-assisted document processing to extract shipment information from emails, purchase orders, order confirmations, and existing shipping documents. Develop reports to monitor delivery performance, scheduling efficiency, and operational bottlenecks. Explore opportunities to improve scheduling and resource utilization using available data. Purchasing and Inventory Management Develop tools to compare supplier quotations, pricing, lead times, and purchasing terms. Automate the organization and analysis of supplier information. Analyze inventory levels, purchasing history, and consumption patterns. Create alerts for low inventory, unusual pricing changes, and potential supply issues. Assist with inventory reporting and supplier performance analysis. Support purchasing decisions through better data visibility and automated reporting. Sales and CRM Automation Improve CRM data quality and automate routine record maintenance. Develop automated customer follow-up reminders and sales activity notifications. Use AI to summarize customer interactions and organize relevant information. Automate sales pipeline reporting and performance dashboards. Identify opportunities to reduce administrative work and improve consistency in sales processes. Laboratory and Manufacturing Automation Organize laboratory testing, quality-control, and manufacturing data. Automate routine calculations, data consolidation, and report preparation. Develop tools to identify missing data, unusual results, recurring defects, and operational trends. Assist with production reporting and analysis of process efficiency. Identify opportunities to improve recordkeeping, traceability, and information accessibility. Maintain appropriate validation, review, and approval procedures for quality-critical records and results. Accounting and Administrative Automation Develop tools to extract and organize information from invoices, purchase orders, receipts, and related documents. Automate routine data entry, invoice-processing support, and reconciliation workflows. Identify discrepancies between invoices, purchase orders, and receiving records for review. Develop administrative reports, reminders, and exception notifications. Help improve the speed and accuracy of accounting processes while maintaining appropriate financial controls. Ensure that payments, journal entries, and other financial transactions remain subject to authorized approval. Testing, Implementation, and Documentation Develop prototypes and working solutions for prioritized automation opportunities. Test solutions against representative business scenarios, including exceptions and failure cases. Refine implementations based on user feedback and measured performance. Document source code, integrations, workflow logic, dependencies, and operating procedures. Follow company requirements for confidentiality, data security, software access, and change management. Demonstrate completed work to department managers and business stakeholders. Prepare technical handover materials to support ongoing maintenance and future expansion. Required Qualifications Currently enrolled as a junior, senior, or graduate student in Computer Science, Artificial Intelligence, Data Science, Software Engineering, Information Systems, or a related discipline. Working knowledge of Python programming. Familiarity with SQL, relational databases, and data manipulation. Understanding of APIs, JSON, and basic software integration concepts. Interest in applied AI, LLMs, machine learning, or workflow automation. Strong analytical thinking and problem-solving skills. Ability to break business problems into manageable technical tasks. Ability to communicate effectively with technical and nontechnical colleagues. Willingness to learn existing business systems and collaborate with operational teams. Strong attention to detail, initiative, reliability, and a results-oriented mindset. Preferred Qualifications Experience integrating ERP, CRM, accounting, inventory, logistics, or manufacturing software. Experience using AI APIs, LLMs, prompt engineering, and structured AI outputs. Familiarity with automation platforms such as Microsoft Power Automate, n8n, Zapier, or similar tools. Experience with Python libraries such as pandas and tools for data analysis or visualization. Familiarity with Git, version control, testing, and software documentation. Exposure to cloud services, scheduled jobs, database integrations, or application deployment. Knowledge of machine learning, forecasting, anomaly detection, or optimization. Previous internships, academic projects, research, or personal projects involving software development, AI, or automation. Ability to demonstrate a working project, code sample, or relevant technical portfolio.
