Located in San Jose, The Ridge Post-Acute is a skilled nursing and rehabilitation facility dedicated to providing compassionate, personalized care in a supportive environment. With 54 licensed beds, The Ridge provides 24-hour skilled nursing services and on-site rehabilitation, including physical, occupational, and speech therapy, helping residents recover, regain independence, and achieve their highest level of function. At The Ridge, our team works together to provide individualized care and support residents throughout their recovery journey. ABOUT THE ROLE: The Business Office Assistant (BOA)plays an important role in supporting the daily administrative and financial operations of the facility. Working closely with the Business Office Manager and other departments, this position assists with maintaining accurate resident and business records, processing payments and financial documentation, supporting billing activities, and ensuring that administrative tasks are completed accurately and on time. The BOA will also assist with communication between residents, families, staff, vendors, and other external contacts. This position requires strong attention to detail, organization, professionalism, and the ability to handle confidential information appropriately. The ideal candidate is dependable, customer-service oriented, and comfortable managing multiple priorities in a fast-paced healthcare environment. MINIMUM QUALIFICATIONS: * High school diploma or equivalent. * Previous experience in an administrative, clerical, business office, or customer service role. * Proficiency in Microsoft Office, including Word, Excel, and Outlook. * Strong organizational skills and attention to detail. * Effective verbal and written communication skills. * Ability to maintain confidentiality and handle sensitive information professionally. * Ability to multitask, prioritize responsibilities, and meet deadlines. PREFERRED QUALIFICATIONS: * Associate degree or higher in Business Administration, Accounting, Healthcare Administration, or a related field. * Previous experience in a skilled nursing facility, healthcare, medical office, or long-term care setting. * Experience with medical billing, resident accounts, insurance, or payment processing. * Familiarity with healthcare or long-term care administrative systems. * Experience with accounting software or electronic recordkeeping systems. * Knowledge of Medicare, Medi-Cal/Medicaid, private insurance, or other healthcare-related billing processes. RESPONSIBILITIES: * Assist with the day-to-day administrative operations of the Business Office. * Maintain accurate and organized resident, financial, and business records. * Assist with resident billing, statements, payments, and account-related documentation. * Process and organize invoices, receipts, deposits, and other financial documents. * Assist with insurance, Medicare, Medi-Cal/Medicaid, and private-pay documentation as directed. * Respond professionally to questions and inquiries from residents, families, vendors, and staff, or direct them to the appropriate department or individual. * Assist the Business Office Manager with collections, account follow-up, and other business office functions. * Maintain confidentiality of resident, financial, and facility information. * Assist with preparing reports, spreadsheets, correspondence, and other administrative documents. * Coordinate and communicate with other departments to support accurate and timely completion of business office tasks. * File, scan, and maintain documents according to facility policies and regulatory requirements. * Provide general administrative support to the Business Office Manager and facility leadership as needed. * Perform other duties and responsibilities as assigned. RATE:  SCHEDULE: FULL-TIME SKILLS: - Strong organizational and administrative skills are essential for maintaining accurate records processing financial documentation and supporting the daily operations of the Business Office.  - Attention to detail is particularly important when handling resident accounts, billing information, payments, and other confidential documents. - Effective communication and customer service skills are also important, as the Business Office Assistant will regularly interact with residents, families, vendors, and facility staff. The ability to remain professional, organized, and composed while managing multiple priorities will contribute to a smooth and efficient business office. - Previous experience in healthcare, skilled nursing, medical billing, or long-term care is preferred, as familiarity with resident accounts, insurance documentation, and healthcare-related administrative processes can help the candidate succeed in the role.
