Office Coordinator
Texas Motor Speedway · Full-time · Hourly · On-site
About the position
The Office Coordinator keeps the front desk and office operations running. The Office Coordinator serves external guests and clients of Texas Motor Speedway.
Texas Motor Speedway, in Fort Worth, hosts NASCAR Cup Series racing and fills with fans from across Texas and around the globe on race weekends. Beyond NASCAR, it hosts a variety of events year-round.
What you'll be responsible for
• The front desk — greeting and routing visitors, answering and routing the main phone line and general inbox, handling mail, couriers, and packages, and answering Speedway Club member inquiries.
• Office Operations & Facilities: Responsible for office, kitchen, and printing supplies and the vendors who provide them, and for keeping shared spaces client-ready and teammate-ready throughout the day.
• Administrative & Team Support: meeting logistics — room bookings, calendar invites, catering, and technical setup — administrative support to functions as requested, and company event coordination.
• Administrative support to the General Manager: point of contact, calendar and appointments, travel, expense and mileage reports, purchase-order preparation and coding, presentations and documents, routing paperwork for signature, and the General Manager’s race-weekend suites.
• Contracted work: responsible for the work this position contracts out — scoping it, choosing from the approved list, and holding each vendor to the standard a teammate is held to.
What you'll build
• Working NASCAR race weekends alongside thousands of guests, corporate sponsors, race teams and media — event operations at full scale.
• Calendar, travel and document support for a General Manager under real time pressure.
• Front-of-house standards — the first impression a visitor, client or member gets of Texas Motor Speedway.
• Supply and vendor management for an office that serves clients and members.
Where it can lead
• Executive Assistant — supporting a senior leader across a wider scope.
• Office Manager — responsible for a company’s office operations.
• Coordinator, Sales; Coordinator, Marketing; or Coordinator, Events — a lateral move into the event work Texas Motor Speedway hosts.
How we work: Humble, Driven, Connected
• Humble. Does the work that is only noticed when it is missing, without needing it noticed. Handles what is confidential without ever trading on it.
• Driven. Anticipates the recurring need — the supply order, the travel booking, the room set up before anyone asks — and holds the standard on the quiet weeks as well as the event weeks.
• Connected. Is the dependable point of contact for the function and the first face a visitor meets — knows who to route a question to before the person asking does.
What you need
• Experience: One to three years in a professional office environment, including front desk and visitor handling. Experience handling confidential information.
• Skills: Managing a busy calendar against stated priorities; preparing meetings so participants arrive ready; maintaining records to a structure another teammate can use. Holds the standard when several people need something at once.
• Tools and Systems: Microsoft Office — Outlook, Word, Excel, and PowerPoint — on company email and calendar systems. AI tools such as Claude and ChatGPT are a plus.
What the position involves
• Physical Requirements: Office environment; lifting supplies and packages up to 25 pounds.
• Travel: Occasional travel to other events Texas Motor Speedway manages, such as NASCAR at Circuit of The Americas in Austin.
• Work Schedule: Full-time, in office — not a remote position. Race weekends and special events as scheduled.
