Job Summary The City of Fort Collins is replacing its core systems for Finance, HR, Payroll, and Budget with a new enterprise platform, and several members of our Human Resources team are dedicating significant time to that work. We’re looking for a Talent Acquisition Specialist to keep our recruiting running smoothly throughout the transition.  This is a limited-term position expected to last three years with the possibility of extension depending on project needs. You’ll step into an established role, working alongside recruiters and hiring managers who are partly focused on the implementation. That means you’ll be relied on to run the day-to-day process with care and consistency: posting positions, coordinating interviews and screenings, preparing offers, and being a steady, welcoming point of contact for candidates.  We want to be honest that this role sits in the middle of change. Some of the tools you’ll use when you start may be replaced before you finish. If you’re energized by learning quickly and staying grounded while things shift around you, this is a rare chance to see how a public organization modernizes from the inside, and to build experience that will serve you well wherever you go next.  The Coordinator works under the direction of the Talent Acquisition Manager and collaborates with Recruiters, Hiring Managers, HR Business Partners, candidates and other internal partners to coordinate hiring activities and support effective recruitment outcomes. Essential Duties and Responsibilities • Administers and maintains the Applicant Tracking System (ATS), including requisition configuration, job posting setup, workflow management, and candidate status updates. • Enters, reviews, and processes requisitions, job postings, and related documentation to ensure accuracy. • Ensures recruitment administration and onboarding activities comply with applicable federal and state employment laws, City Code, personnel policies, procedures, and established guidelines. • Facilitates timely and effective communication with applicants, hiring managers, recruiters, and department contacts regarding hiring processes, required documentation, and next steps. • Oversees Onboarding processes and online forms, ensure a seamless transition for new talent. • Serves as a resource for applicants and hiring managers by responding to questions, resolving routine process issues, and directing complex matters to the appropriate staff. • Monitors outstanding hiring actions and follow up with appropriate parties to obtain required information, approvals, or documentation. • Follows up on required pre-employment activities, including background checks, drug screenings and other applicable employment requirements. • Prepares and issue approved offer letters and related employment documents, ensuring accuracy of compensation, employment terms, benefits information, relocation details, and other applicable provisions. • Enhances hiring managers’ capabilities related to effective utilization of the Applicant Tracking Software. • Performs other duties as assigned to support the overall goals of the Human Resources department during the ERP implementation. This job description is a living document and may not be all-inclusive; employees are responsible for other duties as assigned.
