You'll be the first face and voice our guests and visitors experience, setting the tone for every visit to our office. This is a high-visibility, in-person role: you'll own the front desk, our phone line, and the day-to-day rhythm of the space, including helping run our weekly Happy Hour. On a typical day, you'll greet guests, route calls, keep the office running smoothly, and solve small logistics problems before anyone else notices them. In quieter moments, you're encouraged to explore Arena's platform so you can speak to the product firsthand and bring that curiosity to conversations with guests and the team. You'll Welcome Every Guest: Greet all guests promptly and warmly as they arrive, check them into our visitor management system, notify the appropriate employee/host that their guest has arrived, coordinate hand-off, offer guests a drink or light snack while they wait, and help guests get connected to WiFi, following our guest-access process as needed. Own the Front Desk Experience: Maintain a clean, organized, and welcoming reception area and conference rooms, with fresh touches like flowers and a pleasant scent, answer general guest questions or direct them appropriately, and help set up and clean up in-house lunch meetings. Run the Phones: Manage the company's main phone line, answering, screening, and routing incoming calls to the correct department or individual, taking and relaying accurate messages, and responding to general voicemail and phone inquiries. Support Happy Hour & Company Events: Set up the space ahead of Happy Hour and other events (furniture, signage, supplies, etc., as directed), assist with guest flow, check-in, and giving directions during the event, put together and hand out VIP guest goodie bags, and clean up and reset the space afterward. Keep the Office Running: Manage daily mail and package pickup, sorting, and distribution, and order and maintain front office/reception and conference room supplies. Keep Access Running Smoothly: Manage employee badge issuance and tracking, and coordinate with building security/facilities as needed. You'll have Prior experience in a receptionist, front desk, or customer service role preferred. Strong verbal communication and interpersonal skills. Professional, polished, and welcoming demeanor, with a business-professional appearance consistent with a client-facing front-desk role. Basic computer proficiency (email, scheduling tools, visitor management software). Highly organized with strong attention to detail. Ability to multitask in a fast-paced environment. Reliable and punctual, with flexibility to work extended hours on Happy Hour days (at least weekly; day/frequency may vary). Must be authorized to work in the United States without the need for employer visa sponsorship. Bonus Points Experience at an early-stage or fast-growing startup. Hospitality, events, or guest-services background (e.g., hotel front desk, restaurant host, catering/event staff).
