Marketing Assistant (Marketing Systems Admin) Howard S. Wright, a Balfour Beatty Company in Seattle, WA is seeking a Marketing Systems Admin to join our team. The Marketing Systems Admin will support the systems, data, digital assets, and administrative processes that keep our marketing and business development efforts organized and effective. This role will be responsible for maintaining marketing databases and project and personnel information, managing digital assets, supporting pursuit setup and closeout, and coordinating the administrative needs of proposals, interviews, events, and other marketing initiatives. The position will also provide support for website content and communications while helping ensure our information and resources remain accurate, current, accessible, and aligned with the Balfour Beatty Construction brand. Essential Functions Provide administrative support for pursuits from setup through closeout, including establishing pursuit folders, Bluebeam sessions, Microsoft Teams workspaces, email distribution lists, and other pursuit resources. Coordinate pursuit-related requests and deliverables, including bonding and insurance letters, client dossiers, StrengthsFinder codes, and the assembly and printing of interview materials. Administer and maintain marketing systems, databases, and digital asset libraries, including Unanet, OpenAsset, and Creative Cloud libraries, ensuring project, personnel, and marketing information is accurate, current, and accessible. Coordinate project startup and closeout data collection and entry, working with project teams to capture and maintain relevant project information, experience, and marketing assets. Maintain employee marketing profiles and personnel data, including new-hire information, credentials, certifications, experience, and other information used for proposals and marketing materials. Support SmartStart partnering sessions and other marketing initiatives through meeting coordination, preparation and assembly of materials, note-taking, digitization of session materials, and other administrative support. Support PR and communications including website maintenance, social media posts, public relations requests, newsletter content, and award submissions. Serve as a resource for marketing technology and publishing tools, including developing expertise in Unanet Publisher. Coordinate marketing-related logistics and activities, including meetings, jobsite visits, professional project photography, and other team, client, or project-related activities. Support business development and marketing research, including sourcing leads and maintaining client, partner, project, and reference information used to support future opportunities. Provide general marketing and creative support as needed, including miscellaneous design projects, production assistance, administrative tasks, and other initiatives that support the marketing team's priorities. Minimum Requirements High School Diploma or Associate Degree in Marketing, Communications, Business Administration, Information Systems, or related field required Proficiency using a personal computer (PC), Microsoft 365 products, and collaboration tools, including Outlook, Word, Excel, PowerPoint, and Teams. Strong organizational and task management skills, with demonstrated ability to manage recurring processes simultaneously on multiple platforms. Strong technical aptitude and ability to quickly learn new software, systems, and documented processes, apply feedback, and work independently following initial training. Effective written and verbal communication and collaboration skills, with the ability to proactively gather information, coordinate with multiple stakeholders, and follow through on commitments. Experience entering, maintaining, and organizing information within databases, content management systems, or other platforms, with strong attention to detail and accuracy. Experience with social media outlets such as LinkedIn, Instagram, Facebook. Preferred Experience Experience working with marketing databases, CRM platforms, digital asset management systems, or publishing tools; experience with Unanet, Copilot, OpenAsset, Adobe Creative Cloud, or Bluebeam is a plus. Continuous improvement mindset with an interest in identifying efficiencies, refining processes, and improving how information and resources are managed. Ability to collaborate and work independently and drive to be a positive team member. Ability to manage multiple projects and tasks simultaneously. Commitment to maintaining accurate, complete, and consistent data and information. Construction, architecture, engineering, or other professional services industry experience helpful, but not required. Annual Base Pay: $55,000 - $60,000 This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee's pay position within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, any collective bargaining agreements, and business or organizational needs. No amount of pay is considered to be wages or compensation until such amount is earned, vested, and determinable. The amount and availability of any bonus, incentive, or any other form of compensation that are allocable to a particular employee remains in the Company's sole discretion unless and until paid and may be modified at the Company's sole discretion, consistent with the law and any applicable plan documents.
