Description Job Description Temporary Front Desk Administrator- Bilingual EXEMPT: No SALARY LEVEL: $22-$24 per hour DOE LOCATION:2250 Northpoint Parkway, Santa Rosa, CA 95407 DEPARTMENT: Administration HOURS: Full-time 40 hours M-F normal business hours REPORTS TO: Administration Manager DATE: 10/2026 APPROVED BY: HR Director AGENCY BACKGROUND: The mission of Sonoma Community Action Network (Sonoma CAN) is to partner with low-income families and individuals to help them to achieve economic and social stability, to build community, and to advocate for social and economic justice. Community Action operates a wide variety of programs benefiting low-income Sonoma County residents. SUMMARY: As a Temporary Front Desk Administrator, you will act as the first (and last) person that Sonoma CAN visitors meet when coming to or calling our office. You will be an integral part of our team by helping manage the front desk/office admin and creating an amazing employee and guest experience. The ideal candidate will have great communication skills and embrace our fast-paced and friendly environment, as this is a pivotal role in making sure the office runs smoothly day-to-day. This position is estimated to be 8-12 weeks in length. ESSENTIAL DUTIES AND RESPONSIBILITIES: Duties include but are not limited to the following: Open and close the facility M-F (unlock the front door, turn on/off lights) Serve as a key resource for staff and the public; answer and/or refer questions to appropriate staff Use translation software on documents and written communication documents from English to Spanish and Spanish to English Assist in verbal and written communications with Spanish-speaking persons Use oral and written bilingual (English/Spanish) skills in performing daily tasks and activities Perform Administrative duties : answer phones, emails, file, scan, and complete data entry tasks, etc. Maintain the copier equipment, supplies etc. Maintain and update required manuals/ information sheets, etc. Use Google Suite, EmpowOR, The Resource Connection Network, DocHub, and additional software programs to perform job duties Enter Client notes into our client database system (EmpowOR) Participate as a team member with programs by using email, chat, and interpersonal communication processes. Collect, track, scan, and send all incoming checks for Finance staff Collect, scan, enter, and send all in-kind documentation to Development staff Distribute paychecks to employees Ingoing/Outgoing mail: distribute incoming mail and take outgoing mail to the mailbox before 3pm daily Maintain a clean and organized workspace for the spaces you utilize Review meeting rooms after meetings for cleanliness and send notifications to users/supervisors if the space is left dirty or in disarray Purchase items and run errands as needed Notify recipients of deliveries received Assist with diaper allocation and data entry Assist with collection of donations, donor database, and donation acknowledgements Help troubleshoot tech issues in shared rooms Attend meetings that are regularly occurring and as needed. Comply with all local, state, and agency specific legal requirements including but not limited to HIPAA, PHII, Mandated Reporting, confidentiality, etc. Requirements QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EXPERIENCE and EDUCATION: Good communication and interpersonal relations, team attitude Strong Google Suite and general computer skills Strong organizational skills and attention to detail Self-sufficient and driven to succeed REQUIRED QUALIFICATIONS: Bilingual oral and written skills in Spanish/English. PHYSICAL DEMANDS: While performing the duties of this job, the employee is frequently required to sit; use the computer keyboard and mouse, use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee may occasionally be required to stand, walk, stoop, crouch, and lift/move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
