ACCORD: ACCORD (Alcohol Counseling Community Outreach Drop-In) is a licensed California program for people arrested or convicted of driving under the influence. Clients attend classes on substance abuse education and have private counseling sessions to address alcohol or drug-related issues in a safe, confidential setting.
Required Qualifications:
* High school diploma or GED
Nice to have (but not required):
* Bilingual (English/Spanish)
* Two years related administrative office experience
* Knowledge of computer database systems and clerical procedures (word processing, managing files and records, stenography and transcription, designing forms, and more).
* Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
How you’ll be helping:
Under the supervision of the Administrative Manager, the Administrative Assistant will process client graduations, terminations, manage client accounts, attendance, and correspondence.
This looks like…
Processing client graduations:
* Audit client files. Collaborate with counseling supervisors and staff to ensure file compliance.
* Ensure necessary corrections to file and client accounts.
* Ensure client has completed all requirements and is eligible for graduation.
* Ensure graduations are processed within 10 days as mandated by Title 9 regulations.
* Submit graduations to the court and DMV when necessary.
Processing client terminations:
* Ensure valid client termination and submit to the court and DMV in a timely manner.
* Contact client when necessary to help client avoid being terminated from the program.
Client accounts:
* Complete client financial assessment, process client payments, and manage client accounts.
* Contact clients to make payment arrangements. Perform daily reconciliation of payments.
* Send correspondence to clients behind on payments.
* Provide stewardship and customer service to a challenging population.
* Process client program transfers, oversee client leave of absences, and track client attendance.
* Write client letters to be used in court and/or with their attorneys. Makes pay card corrections when necessary.
* And any other additional office duties as needed (additional details to be discussed during interview).
Your work environment:
ACCORD is in El Cajon, located between the Parkway mall and the train station. We are accessible by various public transportation methods and have plenty of client/employee parking.
Our clients at ACCORD are participating in court-ordered substance use treatment programs, therefore we are looking for someone who can remain sympathetic while working in an environment that can be somewhat challenging.
You’ll work alongside a wonderful team of changemakers across many positions. You’ll also work with other Administrative Assistants and have access to our Lead Administrative Assistant for guidance and support!

Work Schedule:
* Full time, 40-hour work week. Monday through Friday 9:00 am to 6:00 pm.
