About the Role
As a Claims Operations Specialist, you'll be an essential part of Kinsale's Claims team, keeping our files, data, and workflows running accurately and on time. You'll work alongside experienced claims professionals and leadership, seeing the full claim lifecycle from first notice of loss to closure. The role combines daily administrative claims support with ownership of claim data accuracy, and it builds the knowledge and skills for career development into claim handling. With the right skills and aptitude, this role can lead to a Claims Examiner career path.
What You'll Do
Setting up and routing new claims from the claims mailbox and live calls, verifying policy and coverage details against underwriting records, and assigning each claim to the right team based on type, severity, jurisdiction, and workload.
Managing department inboxes and the online service desk to triage and respond to internal requests, including invoice processing and mailings.
Indexing, organizing, and uploading correspondence, photos, reports, invoices, and legal documents while keeping file notes, diary dates, and claim data accurate, current, and compliant with company policies for PII, PHI, and other confidential data.
Supporting examiners and department leadership with document requests, file follow-ups, and daily workload prioritization, while serving as a knowledgeable point of contact for routine procedural and system questions.
Processing payment requests and invoices within your authority limits and maintaining vendor and payee information.
Managing catastrophe event bulletins (notices about storms or other large events that may generate many claims) and distributing information to the relevant teams.
Maintaining department tracking tools and logs, correcting incomplete, inconsistent, or miscoded claims found in exception reports, and preparing monthly, ad hoc, regulatory, and audit reports for claims management, finance, underwriting, and reinsurance.
Using AI tools to enhance workflows and assist with data extraction, flagging recurring errors and repetitive tasks to leadership, and helping test system changes.
What You Bring
Associate's or bachelor's degree, or 2+ years of relevant experience.
Proficiency in Outlook, Excel, and SharePoint, including working with Excel tables and VLOOKUPs.
Strong attention to detail and organizational skills, with a high level of accuracy in data entry and documentation.
Initiative and the ability to manage multiple priorities and deadlines with a collaborative, team-oriented mindset.
Clear written and verbal communication skills and sound judgment with confidential information.
Working knowledge of property and casualty coverages, policy terminology, and the claims lifecycle, and interest in obtaining an adjuster license where required by the state, are a plus.
Familiarity with generative AI tools, such as Claude or ChatGPT, and how they can support everyday administrative and data tasks is a plus.
