Employment Duration: 3 months (w/ potential for extension)
Note: This position is fully remote.
UCSF is seeking a detail-oriented Data Cleanup Specialist to support the
Research Gateway Grants & Agreements Implementation Project. This temporary
position will focus on reviewing, correcting, and validating existing data to
support the transition from UCSF's legacy iRIS eProposal and CACTAS systems to
the Huron Research Suite Grants and Agreements applications, including the
migration and/or archival of historical records.
The Data Cleanup Specialist will perform structured, high-volume data entry,
record maintenance, and quality assurance activities using Microsoft Excel,
system-generated reports, and database-based applications. Responsibilities
include identifying discrepancies, updating records according to established
procedures, tracking completed work, and ensuring data accuracy and consistency.
The ideal candidate is highly organized, detail-oriented, and comfortable
working independently on repetitive, data-intensive tasks. Prior experience with
research proposals, sponsored research, or agreements is not required.
Key Responsibilities:
* Review reports, spreadsheets, and system records to identify data requiring
cleanup, correction, or completion.
* Perform high-volume data entry, record updates, and maintenance in existing
proposal and agreements systems.
* Apply documented business rules, established procedures, and detailed
instructions to ensure accurate and consistent data updates.
* Compare information across spreadsheets, reports, and database records to
identify discrepancies, missing information, and inconsistencies.
* Validate the accuracy and completeness of updated records through initial
quality checks.
* Maintain organized tracking logs and documentation of completed updates,
outstanding records, and identified issues.
* Identify and escalate unclear, inconsistent, or unresolved records to the
designated project or business contact.
* Participate in quality assurance reviews to verify completed work and address
identified discrepancies.
* Correct errors identified during quality assurance reviews and incorporate
feedback to improve subsequent work.
* Provide regular progress updates regarding completed records, outstanding
tasks, and issues requiring resolution.
* Follow established procedures for handling institutional and research-related
information.

QUALIFICATIONS
Required Qualifications:
* Strong attention to detail and demonstrated ability to perform accurate data
entry and data cleanup.
* Proficiency with Microsoft Excel, including sorting, filtering, searching,
and working with structured datasets.
* Experience entering, reviewing, or maintaining information in databases or
enterprise systems.
* Ability to follow detailed written procedures and apply defined data rules
consistently.
* Ability to compare information across multiple sources and recognize
discrepancies.
* Strong organizational skills and ability to track progress across a large
number of records.
* Ability to work independently while knowing when to escalate questions or
exceptions.
* Ability to incorporate feedback from quality assurance reviews and make
corrections efficiently.
Preferred Qualifications:
* Bachelor's degree in related area and or equivalent experience / training.
* Previous experience with data cleanup, data migration preparation, data
validation, records management, or similar work.
* Experience in a compliance driven requirement or research admin environment
* Experience working with large Excel spreadsheets or reports generated from
databases.
* Experience working in an administrative, higher education, healthcare,
research, or other complex organizational environment is helpful but not
required.
