Executive Assistant to the CEO — Hybrid Draper, Utah | Full-Time | Three Days per Week in Office We are seeking a resourceful, organized Executive Assistant to support a very busy CEO overseeing multiple departments, teams, and business priorities. This position requires someone who can anticipate needs, exercise sound judgment, work through problems, and follow through until matters are resolved. The ideal candidate can manage a demanding calendar, organize a busy inbox, build and maintain Excel trackers, coordinate travel, and handle practical needs such as office errands and executive pickups and drop-offs. You should be comfortable shifting priorities while keeping commitments, deadlines, and details under control. Schedule and Location This is a full-time hybrid position requiringthree days per week in our Draper, Utah office, with remote work on the remaining days. Flexibility for business needs and the ability to travel with or on behalf of the CEO are required. Key Responsibilities Manage the CEO’s calendar, including meetings, appointments, travel, preparation time, and scheduling conflicts. Organize and monitor email, identify priorities, draft correspondence, and track messages requiring a response or decision. Prepare meeting agendas, briefing materials, presentations, and supporting documents. Attend meetings as needed, capture decisions and action items, and follow up with responsible team members. Track departmental changes, projects, deadlines, and outstanding issues, keeping the CEO informed of progress and concerns. Coordinate with department leaders to ensure assigned tasks are completed and issues are resolved; escalate delays or decisions requiring executive attention. Create and maintain Excel spreadsheets, reports, and trackers to organize information and support business decisions. Coordinate travel arrangements, itineraries, accommodations, transportation, and changes to travel plans. Assist with expense reports, receipts, vendor coordination, and administrative records. Handle office and executive errands, including dry cleaning, supply runs, pickups, drop-offs, and other logistical needs. Coordinate meetings, events, visitors, and office needs to ensure a professional, prepared environment. Maintain organized files and handle sensitive business and personal information with discretion. Anticipate upcoming needs, identify potential problems, and recommend practical solutions. Support special projects and other executive priorities as they arise. Qualifications Demonstrated experience supporting a senior executive in a demanding environment. Strong Excel skills, including formulas, sorting and filtering, data organization, and maintaining accurate reports. Excellent calendar management, email organization, and written communication skills. Ability to evaluate a problem, identify options, and move work forward with appropriate judgment. Consistent follow-through and the confidence to request updates, address missed commitments, and escalate concerns. Strong attention to detail and the ability to manage competing priorities. Professionalism, discretion, and comfort handling confidential information. Reliable transportation and the ability to complete local errands. Ability to work in the Draper office three days per week and travel as needed. What Success Looks Like The CEO’s schedule is organized, priorities are clear, meetings are prepared, and outstanding items receive consistent follow-up. Department issues stay visible until resolved, and everyday logistics are handled efficiently. You take ownership of your work and bring thoughtful solutions when something needs attention.
