Position Summary
The Parts Inside Sales Representative is responsible for responding to outside customer inquiries for aircraft parts and components and managing the sales process from the initial request through order completion. This position provides timely and accurate pricing and availability information, prepares quotes, processes customer orders, and follows up to ensure a high level of customer service.
The Parts Inside Sales Representative serves as a primary point of contact for external customers contacting KCAC for aircraft parts and is expected to build positive customer relationships while supporting Parts Department sales and profitability.
This position is a member of the Parts Department and will be cross trained in all department duties.
Essential Duties and Responsibilities
Inside Sales and Customer Service
Respond promptly and professionally to incoming telephone calls, emails, and other inquiries from outside customers seeking aircraft parts and components.
Identify customer requirements, including part numbers, quantities, condition requirements, certification requirements, and requested delivery dates.
Research company inventory to determine product availability.
Research part numbers, superseded part numbers, product information, pricing, and availability as necessary to respond to customer requests.
Prepare and provide accurate and timely customer quotes.
Communicate part condition, pricing, availability, lead times, certification, and shipping information to customers.
Follow up on outstanding quotes and customer inquiries to identify sales opportunities and encourage order completion.
Process customer purchase orders and sales orders accurately and timely.
Verify customer information, part numbers, quantities, pricing, shipping instructions, payment terms, and other order requirements before processing.
Coordinate with Shipping and Receiving to ensure customer orders are prepared and shipped according to customer requirements.
Monitor open customer orders and communicate delays, backorders, shipping information, or other changes to customers.
Provide tracking and order status information when requested.
Maintain communication with customers throughout the sales process and address questions or concerns promptly.
Assist customers with returns, discrepancies, damaged shipments, warranty concerns, and other post-sale issues in accordance with company procedures.
Maintain accurate customer, quote, sales order, and transaction information in company systems.
Develop positive working relationships with existing customers and provide service that encourages repeat business.
Recognize potential new customers and sales opportunities generated through incoming inquiries.
Protect confidential customer information, company pricing, cost information, and other proprietary business information.
Become trained and maintain a working knowledge of all major functions within the Parts Department.
Provide support in other Parts Department areas when needed due to workload, employee absences, staffing needs, or operational priorities.
Follow all company safety, security, inventory control, quality, and documentation procedures.
Perform other duties as assigned.

Ability to manage multiple customer inquiries, quotes, and orders simultaneously.
Ability to work effectively in a fast-paced environment with changing priorities.
Basic knowledge of aircraft parts, aviation terminology, and aircraft documentation preferred.
Ability to work independently and as part of a team.
Ability to recognize when pricing, documentation, quality, or customer issues should be escalated to management.
Education and Experience
High school diploma or equivalent required.
Previous inside sales or customer service experience preferred.
Previous aviation parts sales experience preferred.
Experience working with aircraft parts, aviation inventory, an aviation MRO, FAA Part 145 Repair Station, FBO, aircraft dealership, manufacturer, or distributor is preferred.
Previous inventory, warehouse, shipping/receiving, or parts experience is beneficial.
Physical Requirements
Ability to sit and work at a computer for extended periods.
Ability to regularly communicate by telephone, email, and in person.
Ability to regularly stand, walk, bend, reach, and move throughout the Parts Department, hangars, and shipping/receiving areas.
Ability to visually review detailed part numbers, serial numbers, labels, documentation, pricing, and computer records.
Ability to lift and carry aircraft parts, packages, and materials weighing up to 50 pounds, with assistance or mechanical equipment when appropriate.
Work Environment
Work is performed in an office and aviation Parts Department environment and may include time in hangar, shipping/receiving, and aircraft maintenance areas. The employee may occasionally be exposed to aircraft operations, noise, temperature changes, moving equipment, and other conditions associated with an active aviation facility.
