ADMINISTRATIVE ASSISTANT Location: Phoenix, AZ Position Type: Full-Time | Hourly | Fully On-Site ABOUT THE ROLE Denali Water Solutions is seeking a dependable Administrative Assistant to support daily operations at our recycling facility in Phoenix, AZ. This position is responsible for clerical functions, accurate data entry, preparation of monthly reports for the City of Phoenix, and daily management of multiple operational spreadsheets. The ideal candidate has experience in a fast-paced customer service environment, is self-driven, and possesses strong organizational, multitasking, and problem-solving skills. This role supports the Office Manager, Production Manager, Supervisors, and other departments to keep administrative and operational activities running smoothly. This position is fully on-site and requires reporting to the Phoenix facility each workday. ESSENTIAL RESPONSIBILITIES * Perform daily clerical functions, including data entry, filing, recordkeeping, and document preparation. * Prepare and compile monthly reports for the City of Phoenix, ensuring accuracy, completeness, and timely submission. * Update and manage multiple operational spreadsheets daily. * Review records and spreadsheet entries for accuracy, identify discrepancies, and coordinate corrections with appropriate personnel. * Answer calls and respond to emails from customers and sales personnel regarding requests, orders, and inquiries. * Enter orders accurately and promptly. * Coordinate with dispatch to support truck scheduling and resolve scheduling issues. * Monitor inventory levels, notify appropriate personnel of low quantities, and maintain office supplies. * Complete assigned reports within established deadlines as directed by the Office Manager. * Provide administrative support to the Office Manager, Production Manager, and Supervisors. * Facilitate communication between departments, customers, and operational personnel. * Maintain organized records and handle confidential information with discretion. * Follow facility policies and safety procedures. MINIMUM QUALIFICATIONS * High school diploma or equivalent. * At least one year of administrative or office experience. * Proficiency in Microsoft Word, Excel, and Outlook. * Ability to maintain multiple spreadsheets and enter data accurately. * Strong organizational, multitasking, and problem-solving skills. * Excellent written and verbal communication skills. * Ability to prioritize assignments and meet reporting deadlines. * Ability to work independently, follow direction, and collaborate with others. * Comfortable working at a recycling facility with occasional strong odors associated with sludge and food processing materials. * Ability to report to the facility each workday. PREFERRED QUALIFICATIONS * Experience in a fast-paced customer service or office environment. * Experience preparing operational reports and maintaining detailed records. * Familiarity with Microsoft Teams, Slack, or similar communication tools. * Basic knowledge of bookkeeping or accounting principles. * Experience supporting dispatch, production, recycling, or industrial operations.
