About the Role Do you enjoy turning a busy calendar, a list of moving pieces, and a handful of open requests into a clear plan? Are you the person who remembers the details, keeps people informed, and makes sure the next step happens? DAS Technology is seeking an Administrative Assistant who enjoys coordinating people, schedules, and information, while helping others stay organized. Your primary focus will be administrative and executive support, recruiting coordination, and training administration. You will help leaders stay prepared, keep candidates informed throughout the hiring process, and coordinate training sessions and learning management system (LMS) records. You will also support internal projects and assist designated team members with office needs. What You’ll Do • Coordinate calendars, meetings, invitations, and scheduling changes for assigned leaders. • Prepare agendas, materials, presentations, correspondence, and meeting notes; track action items and follow through on next steps. • Keep administrative requests, deadlines, files, and shared documents organized; assist with travel, itineraries, and expense documentation as assigned. • Review applications and candidate profiles against agreed hiring criteria, organize candidate information, and flag potential matches for the hiring team. • Coordinate screening calls and interviews, confirm availability and logistics, and maintain current candidate records and stages. • Provide positive, timely candidate communications throughout the process, including acknowledgments, interview details, updates, next steps, and approved outcome messages. • Coordinate training schedules, facilitators, invitations, materials, attendance, and reminders. • Maintain the LMS, including approved course content, learner records, enrollments, assignments, due dates, and completion tracking. • Follow up on training completion, support learner access questions, and route technical or content issues to the appropriate stakeholders. • Support internal communications, events, and projects with clear task tracking and status updates. • Assist with supplies, vendor scheduling, deliveries, guest coverage, corporate housing readiness, shipping, and occasional local errands as needed. • Use approved technology and AI tools, including Perplexity, to support efficient work while verifying accuracy and protecting sensitive information. What Makes You a Strong Fit • You naturally organize details, build useful checklists, and keep track of what needs to happen next. • You enjoy coordinating across people and schedules, keeping candidates informed, and making training easy to navigate. • You follow through without repeated reminders and communicate early when priorities change or decisions are needed. • You write clearly, ask thoughtful questions, and confirm expectations before moving forward. • You can manage routine work independently while recognizing when to ask for approval or escalate an issue. • You remain composed when plans change and take pride in accurate records, professional communication, and dependable support. Qualifications • Experience in administrative support, scheduling, recruiting coordination, training administration, hospitality, customer service, or a related role. • Strong organization, attention to detail, written and verbal communication, and reliable follow-through. • Comfort with email, calendars, documents, spreadsheets, and collaboration tools such as Microsoft Office, Outlook, and Teams. • Experience with an applicant tracking system or LMS is a plus; willingness to learn these tools and processes is important. • Ability to handle confidential candidate, employee, executive, and company information with discretion. • Interest in developing project-coordination skills and using approved AI tools thoughtfully. • Ability to work full time onsite in Scottsdale and reliably support occasional local errands or corporate housing assignments.
