Position Summary: We are seeking a highly organized and detail-oriented Operations Administrative Assistant to support our operations team. This role is essential in ensuring the smooth and efficient functioning of daily business activities. The ideal candidate will be proactive, resourceful, and capable of handling multiple priorities in a fast-paced environment. Duties and Responsibilities: Customer Setup and Data Management: Enter and maintain accurate customer information in the system. Coordinate with sales and operations teams to ensure timely and correct setup of new customer profiles. Update customer records as needed to reflect changes, ensuring data integrity and accessibility across departments. Document and Workflow Revisions: Manage revisions to documents and operational workflows, including tracking changes and maintaining version control. Ensure all updates are clearly communicated to relevant teams. Maintain documentation accuracy and compliance with internal standards through meticulous attention to detail. Inventory and Part Location Coordination: Oversee the tracking and organization of part storage locations. Collaborate with inventory and warehouse teams to ensure parts are properly labeled, stored, and easily accessible. Support field operations by ensuring timely access to necessary parts and materials. Filter Order Management: Manage filter orders for various projects, including tracking, documentation, and vendor coordination. Maintain up-to-date records of filter storage locations. Communicate proactively with internal teams and vendors to ensure timely delivery and prevent project delays. Support for Service Coordinators: Provide direct administrative and logistical support to service coordinators. Assist with scheduling, service documentation, and tracking service requests. Facilitate communication between teams and ensure timely follow-ups to enhance service delivery. Qualifications: Proven experience in an administrative or operations support role. Strong organizational skills and attention to detail. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office Suite and familiarity with inventory or project management systems is a plus. Ability to manage multiple priorities in a fast-paced environment.
