Job Description Summary The CCJS Student Event Planning Intern (SEPI) is an unpaid role with the expectation of a flexible, part-time work week. A limited number of non-traditional work hours is required. This includes the CCJS’ annual fundraising gala, the Eternal Light Award Dinner (ELAD) on Sunday, November 15, 2026 from set-up to breakdown. (Estimated times - 1:00 p.m. to 9:30 p.m.) The SEPI is responsible for helping the CCJS Administrator of Programs and Events (AOPAE) on the planning and executing of, and follow-up on, all CCJS events, which include formal conferences, symposia, receptions, student events, webinars, and Center-internal events and meetings, and for the day-to-day administration of the Center. This position reports to the CCJS AOPAE. The SEPI collaborates and works in conjunction with the AOPAE to partner with Saint Leo University faculty and staff to plan and organize events, develop event marketing and other communications material, and coordinate event coverage (filming, photography, media, post-event follow-up). The SEPI maintains highly effective and professional internal and external communication, including helping to maintain CCJS contacts, promote events, and manage outreach to Saint Leo departments and members of the community. The SEPI interacts with invited event participants and attendees (in person and via email) and helps to manage relationships with community members. The SEPI requires excellent organizational skills and the ability to effectively handle multiple projects simultaneously. In the performance of their office responsibilities, the SEPI works alongside the AOPAE with partner institutions, faculty, and departments across the university, including Accounting, Development, and Advancement Services. Job Description Duties and Tasks: Helps the AOPAE to serve as a point of contact between students, faculty, staff, other departments, and/or external constituencies on day-to-day programmatic, operational, and administrative matters, including special projects. Assists the AOPAE in overseeing event logistics from concept through set-up, execution and break-down, and maintain tracking and status reports of event progress. This includes logistics for guest scholars (including necessary paperwork, travel arrangements, and honorariums), and attendees of events (including event registration, preparation of printed materials, navigation of attendees to events, and check-in tables). Works with the AOPAE to coordinate with University Communications on event-related marketing and communications in a timely manner (letters, flyers, announcements, invitations, website content, media relations, social media: LinkedIn, Facebook, and Instagram). Helps to collect and maintain up-to-date information for all CCJS contacts. Supports the AOPAE to create and maintain records of all CCJS events, including contact/feedback forms, video, and photography from events. Works alongside the AOAE to ensure CCJS program budgets, purchases, and finances are appropriate and that approvals are received. In coordination with the AOPAE works with Advancement to track and process CCJS donations. Assists the AOPAE with ordering for office and research supplies. Perform other duties as assigned by the CCJS Director, Assistant Director and/or AOPAE. REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES: Education: Requirement: Students enrolled in the Tapia College of Business or another major that closely aligns with the knowledge, skills and abilities needed for this specific internship. Interest: In event planning and/or hospitality. Preference: Tapia graduate level or upper-class undergraduate students. Knowledge: Committed to the CCJS mission to build understanding and respect between Catholics and Jews and all people of good will. Knowledge of finance, accounting, budgeting, and cost control procedures. Aptitude for effective communication principles and marketing techniques. Skills: Exhibits strong interpersonal and communication skills. Responsible Responsive. Highly motivated. Organized. Proven time management competency. Proficient in administrative, word processing, and/or office skills. Experienced in the use of personal computers and related software applications, including Microsoft Office, Excel, and Outlook. Adept in organizing resources and establishing priorities. Competent in records maintenance. Displays advanced writing and editorial skills. Abilities: Professional intelligence to interact with students, faculty and/or staff in a team environment. Works effectively with a wide range of constituencies in a diverse community.Competence to assist in coordinating and organizing meetings and/or special events. Works collaboratively. Able to receive feedback with a willingness to respond to an evolving set of priorities. Aptitude to exercise discretion and maintain grace under pressure.
